These terms and conditions apply to all services provided by Grampian Translation Services Ltd ("GTS", "we", "us"), a company registered in Scotland, company number SC330459, registered office 96 Rosemount Viaduct, Aberdeen AB25 1NX, with offices at 7 Queen’s Gardens, Aberdeen AB15 4YD and 20 Station Road, Cambridge CB1 2JD. By placing an order with us you agree to these terms. Nothing in these terms affects your statutory rights as a consumer.
We provide certified and general translation, interpreting, apostille and document legalisation services (including submission to the FCDO Legalisation Office and e-apostilles), and related services such as arranging notarisation and courier delivery. The details of each service are described on our website and in your quotation.
Quotations are prepared from the information and documents you provide and are valid for 30 days unless stated otherwise. A contract is formed when you accept a quotation, place an order or make payment, whichever happens first. If your documents or requirements turn out to differ materially from what was quoted, we will tell you and agree any revised price with you before continuing.
Prices are in pounds sterling. Your quotation or invoice states what is included and whether VAT applies. Government and third-party fees, such as the FCDO legalisation fee, are passed on as disbursements. Invoices are payable on receipt unless otherwise agreed, and we may pause work, or hold completed documents, until payment is received. Card payments are processed securely by Stripe.

Timescales we give are realistic estimates, not guarantees. Many services depend on third parties, including the FCDO Legalisation Office, notaries, couriers and postal services, whose processing times can change and are outside our control. Expedited timescales run from the point we hold everything needed to proceed, including payment where required. We will keep you informed of any material delay.
Where your service involves a government body or another professional, we act with reasonable care in selecting and instructing them. Fees paid to third parties on your behalf are non-refundable once incurred. In particular, the FCDO fee cannot be refunded once a document has been submitted, including where a document is rejected for reasons outside our control.
You may cancel an order at any time by contacting us. If you are a consumer and ordered at a distance, you have a legal right to cancel within 14 days of the contract being formed. By asking us to begin work within that period you consent to an early start; if the service has been fully performed the right to cancel is lost, and if you cancel part-way through you pay for the work done up to that point and any disbursements already incurred. Any refund due is made to the original payment method.
Certified translations are carried out with reasonable care and skill by qualified translators and certified in line with accepted UK practice. We correct genuine translation errors free of charge. Amendments reflecting a change of preference, including alternative spellings of names not notified to us before delivery, or errors caused by illegible or inaccurate source material, may be chargeable. Translations are prepared for the purpose you state; we cannot guarantee acceptance by an authority whose requirements we were not asked to check.
Original documents in our care are handled and stored securely and returned by the delivery method agreed with you. Postal and courier services are third parties and their delays are outside our control; for irreplaceable documents we recommend tracked services, and in many cases the e-apostille route means originals need not travel, although sometimes an original must still be inspected or verified with its issuer before notarisation. Electronic copies are retained and deleted in line with our Privacy Policy.
We may decline, suspend or discontinue a service at our reasonable discretion, including where a request appears unlawful or fraudulent, where documents appear falsified or misleading, where conduct towards our staff or partners is abusive, threatening or harassing, where payment is not made, or where information we reasonably need is not provided. We never refuse service on the basis of any characteristic protected under the Equality Act 2010. Where we suspect fraud or another criminal offence, we may share relevant information with the authorities as described in our Privacy Policy.
Nothing in these terms excludes or limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot be excluded by law. Subject to that, we are not liable for indirect or consequential losses, loss of profit or business, or losses caused by the delays, actions or decisions of third parties, including the FCDO or a receiving authority; and our total liability arising from any order is limited to the total price you paid us for that order. If you are a consumer, you have statutory rights that these terms do not reduce, including the right to services performed with reasonable care and skill.
We treat your documents and information as confidential and share them only as needed to deliver your service. Personal data is handled in accordance with our Privacy Policy.

We may update these terms from time to time; the version published on this page when you place your order applies to that order. If any part of these terms is found to be unenforceable, the rest remains in effect. These terms are governed by the law of Scotland. If you are a consumer living elsewhere in the UK, you also benefit from any mandatory consumer protections, and may bring proceedings in the courts, of the part of the UK where you live.
